Who we are

The University of Wolverhampton (‘The University’, ‘we’ or ‘us’) are a ‘Data Controller’, as defined by the Data Protection Act 2018 and are responsible for, and control the processing of your Personal Data. How We Use Your Data

The University of Wolverhampton will collect and processes your Personal Data to support and gather further information following completion of your apprenticeship programme. This will be conducted by the utilisation of an Exit Survey. 

The Exit survey is for all apprenticeship graduates over set years, to find out about salary information as a graduate apprentice, progression in the workplace and to find out what alumni offer you may wish to engage with such as; through a variety of volunteering opportunities including, professional mentoring, volunteering and placement opportunities, careers talks, networking opportunities and professional events.

Where an apprentice has competed the exit survey personal details/data will be added to the alumni database for apprentices. For those who aren’t already signed up to the Alumni Association, your data will be removed from the database once it has been processed for the purposes of the survey.

Completion of the exit survey is not mandatory. We have a legitimate interest to process your personal data for the purpose of the exit survey as it is completed to satisfy the Ofsted Inspection Framework.

If you are already a member of the Alumni Association, departments such as the Marketing or Alumni Team in the University may contact you with surveys or for marketing purposes. The university may contact you for this purpose as you are an existing customer of ours. You may choose to opt out of receiving these communications or change your preferences at any time here. There will always be an option to unsubscribe from these communications in any email sent to you.

You may be contacted by these departments regarding using your personal data to show your apprenticeship journey, to be used for promotional purposes, for external use and for use at National Apprenticeship Week. We will always seek your consent first or give you a chance to opt-in for this purpose.

 

Information We Collect

The information that we process about you will be provided by you by completing the exit survey or by the information we hold on you in our student information system.

Personal data provided by you will include details such as your full name (including former name or alias), gender, date of birth, contact details, information relating to your education and employment history and your current salary and employment information. This may also include where you have highlighted as alumni you are willing to support across other areas such as sharing your apprentice experience with current and new learners

 

Who We Share Your Personal Data With

Information is shared with relevant departments within the University for the purposes outlined above. Specific non-personal data may be shared with Ofsted when they conduct and inspection however you will not be identifiable.

We may also share personal details with organisations with enforcement powers such as HMRC or the Police. However, we will only do so if this is required to comply with our legal obligation to disclose information to these bodies. We will only share the minimum amount of personal data with any of the above and will always do so in accordance with the law.

 

Retention

Your data is retained for four years from completion of your apprenticeship programme, for the use of destination data following completion of programme and aligned to career progression and to support the University in Ofsted inspections.

If you are an existing member of the Alumni Association, your data will be processed by the Alumni Team in the database for the purpose of further surveys and other engagement opportunities until the end of your relationship with us. You can ask us to remove your personal data at any time by writing to us by email at alumni@wlv.ac.uk or by post at University of Wolverhampton, MA140 Wulfruna Building, Wulfruna Street, Wolverhampton, WV1 1LY.

 

Your Rights

As an individual, you have a number of rights available to you. How to Complain

If you have any queries, concerns or believe that your Personal Data is being handled in a manner which is contrary to statutory requirements, you may wish to contact the University of Wolverhampton’s Data Protection Officer via dataprotection@wlv.ac.uk or complain to the ICO via www.ico.org.uk
